If you share responsibility for a rider's transportation with another school district, you can use shared billing to automatically divide the cost of each ride. In this article, learn how shared billing works and how to set up shared billing for a rider.
Who can use shared billing?
In order to use shared billing, both districts must be HopSkipDrive clients.
How does shared billing work?
When you set up shared billing for a rider, transportation costs for that shared rider are divided between the rider's Residence district and their Attending district.
- The Residence district is the district the rider lives in.
- The Attending district is the district where the rider attends school.
Each district pays 50% of the cost for each of the rider's rides.
|
Note: Shared billing splits a rider's transportation costs for each individual ride. This ensure that each district is responsible for exactly 50% of a rider's costs, even if their rides vary in cost. |
With shared billing, the Attending district schedules and manages the shared rider's rides in RideIQ. The Residence district is able to view rides in RideIQ, but cannot edit or schedule them. Both districts receive detailed invoices listing the rider's rides and charges. The Residence district will also receive email updates when a Ride Series is scheduled, updated, or canceled for the shared rider. More information about the Residence Districts can be found here.
Charges for each of the shared rider's rides are split evenly between the two districts. Shared billing applies to all rides for a rider.
How to set up shared billing
The Attending district must follow the steps below to set up shared billing for a rider. Setting up shared billing in RideIQ should be done after the two districts have communicated about sharing billing for the rider. To set up shared billing you will need the name and email address of the person at the Residence District who should receive invoices and email updates.
Follow the steps below to set up shared billing with another district:
- On the rider's profile, click Edit.

- Select This rider's transportation costs are shared with another district. You may need to scroll down to see this option.

- In Residence District, select the school district the rider's transportation costs will be shared with.
- Enter the name and email of the contact at the other district. This is the person who will receive invoices and email updates about the shared rider. Click Save.

- Click Confirm to confirm that you want to establish shared billing with the selected district. Billing for the rider is now shared between the two districts. The Residence District contact will receive an email notifying them that shared billing has been established for the rider.
You'll see a tag on the rider's profile showing that they are shared with another district. Rides will be marked SA on the Rides page. The Residence district will see scheduled rides marked SR in their RideIQ account.
Shared billing and multi-passenger rides
A rider with shared billing can only be part of a multi-passenger ride if all riders also share billing with the same district. Because of this, shared riders are not included in SmartPooling suggestions.
If you enable shared billing for a rider who has existing multi-passenger rides scheduled, RideIQ will automatically remove the shared rider from those rides. You can then schedule a new Ride Series for the shared rider. Similarly, if you remove shared billing for a rider or change their residence district you will be prompted to remove them from any multi-passenger rides.
Reviewing charges for a shared rider
In RideIQ, you can view charges for a shared rider on the Rides page or in the Ride Overview section when viewing an individual ride. You can also report on ride charges using Reports. Learn more about viewing ride charges in this article.
RideIQ displays only the part of the rider's fare that your district is responsible for (50% of the total cost). In the example below, the full fare for the ride is $21.80. Each district is responsible for 50% of that cost, which is displayed in RideIQ as shown below.
Additionally, you can review detailed ride charges for shared riders in your regular invoices and supporting documentation. Invoices will show only the charges your district is responsible for, while the other district will be invoiced separately.
Scheduling rides for a shared rider
The Attending district schedules and manages rides for a shared rider in RideIQ. Rides and Ride Series can be scheduled, edited, and canceled as usual.
| Note: A shared rider can only be part of a multi-rider ride if all riders are shared with the same district. |
The Residence district does not need to take any action in RideIQ. Rides will appear in RideIQ, but cannot be edited or canceled. Learn more here.
